Role Overview
The Administrative Assistant will support the Officer within the CEO’s Office, ensuring smooth day-to-day operations and efficient administrative processes. This role is key to maintaining organisational effectiveness and facilitating communication both internally and externally.
Key Responsibilities
- Administrative Support: Deliver comprehensive administrative and clerical assistance to the Officer within the CEO’s Office, managing daily office operations.
- Meeting Coordination: Prepare and organise meeting agendas, materials, and documentation, and record and distribute minutes and action items as required.
- Communication Management: Handle incoming and outgoing correspondence, emails, and telephone communications promptly and professionally.
- Document Management: Maintain accurate and organised filing systems for documents, reports, and records, both electronically and in hard copy.
- Travel and Logistics: Coordinate travel, accommodation, and other logistical arrangements for the CEO’s official engagements.
- Stakeholder Liaison: Act as a point of contact with internal departments and external stakeholders to facilitate smooth information flow.
Qualifications, Skills, and Attributes
- Education: Recognised Diploma at MQF Level 5 in Business Administration or relevant field, with higher qualifications accepted if subject requirements are met.
- Experience: Preferably three years of relevant administrative experience.
- Language Skills: Excellent command of English is required; ability to communicate in Maltese is an asset.
- Communication Skills: Strong written and verbal communication abilities, including professional correspondence.
- Interpersonal Skills: Ability to interact effectively with colleagues, senior management, and external stakeholders.
- Technical Skills: Proficiency in Microsoft Office tools and familiarity with relevant analytical or statistical software.
- Organisation: Excellent organisational skills with strong attention to detail.
- Self-Motivated: Demonstrates initiative, reliability, and the ability to work independently.
- Problem-Solving: Strong analytical and problem-solving capabilities.
