Role Overview
The Executive Assistant will provide high-level support within the Chairperson's Office, working closely with the Personal Assistant to ensure the smooth coordination of executive activities. This role is suited to an organised and analytical individual who thrives in a structured environment, handles sensitive information with discretion, and contributes to the efficiency of executive processes through accuracy and proactive support.
- Executive Coordination: Assist in managing the day-to-day activities of the Chairperson's Office, including scheduling, prioritisation of tasks, and ensuring timely follow-ups on key matters.
- Documentation & Record Management: Prepare, organise, and maintain professional correspondence, reports, and structured filing systems, ensuring information is accurate and easily accessible.
- Data Management & Reporting: Develop and maintain spreadsheets, trackers, and databases, producing clear reports and summaries to support informed decision-making and monitor key initiatives.
- Event & Project Support: Contribute to the planning and execution of internal events and executive-level activities, coordinating logistics, attendance tracking, and preparing briefing materials and documentation.
- Stakeholder Communication: Draft professional communications and liaise effectively with internal teams, senior stakeholders, and external partners to ensure seamless information flow and timely completion of tasks.
- Education: A Diploma in Business Administration, Management, Finance, or a related field is required.
- Experience: A minimum of three years' experience in an administrative or executive support role, ideally within a structured corporate environment.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Strong written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.
- Interpersonal Skills: Ability to build effective working relationships across departments while maintaining a high level of professionalism.
- Technical Skills: Proficient in Microsoft Office 365, particularly Excel, Word, Outlook, and PowerPoint, with a strong focus on data accuracy and reporting.
- Organisation: Highly organised with the ability to manage multiple tasks, maintain structured systems, and meet deadlines consistently.
- Self-Motivated: Capable of working independently with minimal supervision, demonstrating initiative and accountability.
