Group Corporate Administrator

Position Summary

The Group Corporate Administrator is responsible for supporting the administrative, corporate governance, compliance, and operational functions across the Group’s companies and affiliated entities. The role ensures efficient coordination of corporate records, regulatory filings, banking administration, and day-to-day corporate operations while maintaining confidentiality and compliance with applicable laws and internal policies.

The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities across a multi-company environment.

Key Responsibilities

Corporate Administration

  • Maintain and update statutory records, registers, and corporate documentation for all group entities.
  • Coordinate company incorporations, restructures, dissolutions, and related corporate changes.
  • Prepare corporate resolutions and administrative documentation as required.
  • Liaise with regulators, corporate service providers, legal advisors, auditors, and banks.
  • Maintain filing systems, databases, and document management systems.

Banking & Compliance Administration

  • Assist with corporate bank account openings, closures, and ongoing banking administration.
  • Coordinate and prepare banking compliance documentation, including KYC and due diligence requirements.
  • Liaise with banking institutions regarding compliance requests and account maintenance.
  • Support AML and regulatory compliance procedures across group entities.

Regulatory & Financial Deadline Monitoring

  • Monitor and track regulatory, statutory, compliance, and financial filing deadlines across all group companies.
  • Ensure timely submission and coordination of required documentation with internal and external stakeholders.
  • Follow up with advisors, finance teams, and service providers to ensure deadlines are met.

Administrative & Operational Support

  • Provide administrative support to the Group CFO and senior management.
  • Coordinate signatures, document execution, notarization, and legalisation processes.
  • Assist with the preparation of reports, presentations, and internal documentation.
  • Act as a coordination point between subsidiaries and departments within the group.
  • Support onboarding of new entities, directors, and shareholders.

Ad Hoc Support

  • Assist with special projects, operational initiatives, and ad hoc administrative tasks as assigned by management.
  • Support cross-functional teams with corporate and administrative requirements when needed

Minimum Requirements

  • A minimum of 2–3 years’ experience in corporate administration, company administration, compliance, legal administration, finance administration, or a similar role
  • Experience working within a multi-company or corporate services environment is considered an asset
  • Strong understanding of corporate documentation, regulatory filings, and administrative processes
  • Familiarity with banking administration, KYC, and compliance procedures
  • Excellent organisational skills with the ability to manage multiple deadlines and priorities
  • High attention to detail and accuracy when handling sensitive documentation
  • Strong communication and interpersonal skills
  • Ability to handle confidential information with professionalism and discretion
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook
  • Fluency in English, both written and spoken
  • A proactive, reliable, and solution-oriented approach to work
