Role Overview
The Head of Digital & Marketing Projects will play a key leadership role in coordinating and delivering a wide range of client work across several internal teams. This position ensures that all project activity is structured, well-managed, and aligned with both client expectations and business priorities. The chosen candidate will serve as the main connector between teams, leadership, and clients, driving smooth execution while continuously improving internal processes and delivery standards.
Key Responsibilities
- Project Leadership & Delivery: Lead and coordinate cross-functional teams including creative, digital, content, and technical specialists, ensuring structured execution across all project phases. Develop and maintain clear delivery plans, track progress against objectives, and proactively manage risks or delays. Ensure consistent quality across outputs while improving workflows and operational efficiency. Provide regular updates to leadership on project status and performance.
- Client Communication & Relationship Management: Act as the main point of contact for clients, ensuring communication is clear, timely, and aligned across all stakeholders. Manage expectations by providing regular updates, collecting feedback, and addressing client needs effectively. Organise recurring meetings, prepare agendas, and document discussions and actions. Maintain strong client relationships and ensure issues are resolved promptly and professionally.
- Operations & Workflow Management: Oversee internal coordination systems, ensuring tasks, timelines, and resources are properly structured and monitored. Maintain accurate documentation and ensure reporting processes are consistently updated. Improve operational workflows to enhance efficiency and delivery performance. Utilise tools such as ClickUp, Asana, Trello, or similar platforms to manage project execution.
- Performance Monitoring & Reporting: Track project KPIs and provide structured updates to senior leadership, including the CEO. Analyse progress data to support decision-making and identify areas for improvement. Implement practical solutions to enhance delivery outcomes and operational effectiveness.
- Administration & Coordination: Manage contract-related processes, including preparation, review, and follow-ups. Ensure all project documentation is accurate and properly maintained. Support resource allocation across teams to ensure balanced workloads and effective delivery.
Qualifications, Skills, and Attributes
- Education: A qualification in Business Administration, Marketing, Project Management, or a related field is preferred but not essential.
- Experience: Previous experience in project coordination, operations, or a leadership-oriented role within a fast-paced environment.
- Driving License: A valid driving license category B is required. Own transport or access to a personal vehicle is required.
- Language Skills: Excellent command of English is required. Maltese language skills would be considered an asset.
- Communication Skills: Strong ability to communicate effectively with internal teams, clients, and leadership, both verbally and in writing.
- Interpersonal Skills: Confident in building and maintaining professional relationships across multiple stakeholders.
- Technical Skills: Familiarity with project management tools such as ClickUp, Asana, Trello, or similar systems. Exposure to automation or CRM platforms is an advantage.
- Organisation: Strong ability to manage multiple priorities, maintain structure, and ensure consistent follow-through.
- Self-Motivated: Proactive and accountable approach with the ability to work independently in a dynamic environment.
- Problem-Solving: Strong analytical thinking with the ability to identify challenges early and implement effective solutions.
