Role Overview
The Personal Assistant will provide dedicated support to the CEO, ensuring the smooth coordination of daily operations and executive priorities across the organisation. This role requires a proactive and adaptable professional capable of managing multiple responsibilities with discretion, efficiency, and a solutions-focused approach. The successful candidate will serve as a pivotal liaison, helping the CEO maintain organisation and focus while safeguarding confidential information.
Key Responsibilities
- Executive Support: Manage the CEO’s calendar, scheduling, and appointments, ensuring meetings are coordinated and documents prepared. Screen calls, emails, and enquiries, responding as appropriate, and act as a primary contact between the CEO and internal or external stakeholders.
- Organisation & Administration: Draft correspondence, reports, and presentations, and maintain structured electronic and physical filing systems. Handle sensitive information with the utmost confidentiality and assist with general administrative duties as needed.
- Planning & Coordination: Organise travel, accommodation, and itineraries. Prepare the CEO for meetings and events, follow up on action points, and ensure commitments are tracked effectively.
- Proactive Support: Anticipate requirements and resolve issues promptly. Conduct research, support projects or special assignments, and identify opportunities to enhance efficiency and organisation.
Qualifications, Skills, and Attributes
- Education: Minimum A-Level standard of education.
- Experience: At least 2 years’ experience in a Personal Assistant, Executive Assistant, or administrative role. Experience supporting senior management is advantageous.
- Language Skills: Excellent command of English and Maltese, with strong verbal and written communication abilities in both languages.
- Communication Skills: Clear and professional communication with internal and external stakeholders.
- Interpersonal Skills: Confident and discreet, able to build positive relationships across all levels of the organisation.
- Technical Skills: Competent in office software and digital tools, with strong organisational and administrative capabilities.
- Organisation: Meticulous with strong attention to detail, able to manage multiple tasks effectively.
- Self-Motivated: Proactive and capable of working independently with minimal supervision.
- Problem-Solving: Able to respond quickly to challenges, prioritise tasks, and implement solutions efficiently.
