Role Overview
The Sales Support Officer will play a key role in assisting the commercial team with the smooth coordination of daily sales operations. This position combines customer interaction, administrative coordination, and internal liaison to ensure efficient order processing and effective communication between departments.
Key Responsibilities
- Sales Reporting & Analysis: Compile sales data, assist in preparing performance reports, and support basic market research activities to provide insights that aid decision-making.
- Customer Order Coordination: Respond to client enquiries, process incoming orders accurately, and ensure all relevant information is recorded within internal systems.
- Logistics Follow-Up: Maintain regular communication with the distribution function to track order fulfilment and confirm delivery timelines with customers.
- Administrative Support: Provide structured clerical assistance to the Sales team, including document preparation, record maintenance, and ensuring office resources are adequately managed.
- Sales Coverage & Interdepartmental Liaison: Conduct outbound calls to clients when required to support sales coverage, and coordinate documentation and order-related matters with other teams.
Qualifications, Skills, and Attributes
- Education: Minimum O Level standard of education and/or certification from MCAST in administration or a related discipline.
- Experience: Previous exposure to an administrative or sales support role would be considered an asset.
- Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
- Communication Skills: Confident in handling customer conversations both over the phone and in writing, ensuring clarity and professionalism at all times.
- Interpersonal Skills: Able to collaborate effectively with colleagues across various departments while building positive working relationships.
- Technical Skills: Proficient in standard office applications, data input systems, and general computer use.
- Organisation: Demonstrates strong planning abilities with the capacity to manage multiple tasks while maintaining accuracy.
- Self-Motivated: Takes initiative, works independently when required, and remains dependable under routine operational demands.
- Problem-Solving: Applies logical thinking to resolve order-related queries and operational challenges efficiently.
