Role Overview
The Operations Officer will oversee the intake, assessment, and management of applications in line with regulatory requirements and internal procedures. This role involves coordinating operational activities, inspections, and compliance follow-ups across various stakeholders, ensuring accuracy and efficiency throughout the process.
Key Responsibilities
- Application Management: Handle application intake, verify eligibility, and communicate with applicants while adhering to scheme rules and timelines.
- Operational Coordination: Schedule and coordinate inspections, site visits, and operational activities with inspectorate teams, suppliers, and other stakeholders.
- Compliance Oversight: Track compliance milestones, manage evidence submissions, and ensure regulatory and procedural adherence across all projects.
- Record Keeping: Maintain accurate records and files, ensuring consistency and attention to detail in all documentation.
- Issue Resolution: Identify operational challenges and implement solutions to maintain smooth delivery of services and programme objectives.
Qualifications, Skills, and Attributes
- Education: Degree at MQF Level 6 in Public Administration, EU Funds, Environmental Studies, Environmental Management, Business, or a related discipline.
- Experience: Minimum of 3 years’ experience in application processing, grant schemes, or regulatory programmes.
- Language Skills: Excellent command of both Maltese and English is required to succeed in this role.
- Communication Skills: Strong written and verbal communication abilities for liaising with applicants, teams, and external partners.
- Interpersonal Skills: Collaborative approach with the ability to build effective working relationships with diverse stakeholders.
- Technical Skills: Proficiency in document verification, evidence management, and operational coordination tools.
- Organisation: Strong organisational and planning capabilities to manage multiple tasks and timelines efficiently.
- Self-Motivated: Ability to take initiative and work independently with minimal supervision.
- Problem-Solving: Aptitude for identifying issues and implementing practical solutions in operational settings.
