Position: Parts & Logistics Executive

Reporting To: Assistant Engineering Manager

Job Purpose

The Parts & Logistics Executive is responsible for supporting the efficient control, coordination, and administration of spare parts, stores, procurement follow-up, and logistics activities within Melita Power Diesel Ltd.

The role ensures that spare parts are properly received, stored, recorded, issued, and traced in support of workshop and field operations. The position also supports supplier coordination, freight arrangements, warranty documentation, and accurate stock control, while reporting directly to the Assistant Engineering Manager.

Main tasks and responsibilities

Inventory & Stores Control

  • Organise, maintain, and control the spare parts stores and inventory.
  • Ensure all parts are properly stored, labelled, and arranged in a systematic manner.
  • Monitor stock levels and report shortages, slow-moving stock, or required replenishments to the Assistant Engineering Manager.
  • Record all stock movements accurately in the company’s inventory system.
  • Issue parts to technicians or authorised personnel in line with company procedures.
  • Support periodic and annual stock takes for audit and control purposes.
  • Maintain accurate records of parts received, issued, returned, or transferred.

Procurement & Supplier Coordination

  • Prepare spare parts requests, enquiries, and quotations as instructed.
  • Assist with the preparation and processing of purchase orders, subject to the required approvals.
  • Liaise with suppliers to follow up on order status, delivery dates, and documentation.
  • Receive incoming parts and physically verify them against supplier documentation and purchase orders.
  • Coordinate with the relevant internal personnel to ensure all received parts are correctly recorded in the company system.
  • Report any discrepancies, damaged items, incorrect deliveries, or delays to the Assistant Engineering Manager.

Warranty & Documentation Support

  • Prepare and maintain parts usage records required for warranty claims.
  • Provide the required documentation to the Warranty Administrator.
  • Assist with the collection, identification, and documentation of failed or replaced parts.
  • Support the preparation and processing of warranty-related documentation.
  • Ensure that warranty parts are properly stored and traceable until further instruction is received.

Returns & Traceability

  • Package failed, defective, or incorrect parts for return to suppliers where required.
  • Coordinate return shipments in line with supplier instructions.
  • Maintain proper records of returned parts, shipment references, and supporting documents.
  • Ensure full traceability of parts movements, returns, warranty items, and supplier investigations.

Logistics & Freight Coordination

  • Coordinate logistics related to the import and export of spare parts, tools, and equipment.
  • Obtain quotations for freight, courier, and shipping services as required.
  • Coordinate shipment arrangements, delivery tracking, and related documentation.
  • Assist with shipment insurance where required.
  • Ensure that shipping, customs, and delivery documentation is properly maintained.
  • Liaise with freight forwarders, couriers, suppliers, and internal departments to support timely delivery of parts and equipment.
Educational and skill requirements

Key Competencies

  • Strong organisational and stores control skills.
  • Good attention to detail and accurate record keeping.
  • Good communication and coordination skills.
  • Ability to follow procedures and maintain proper documentation.
  • Practical understanding of spare parts, logistics, and supplier follow-up.
  • Ability to work effectively with workshop, engineering, finance, and supplier teams.
  • Reliable, hands-on, and able to work in a busy operational environment.

Qualifications & Experience

  • Experience in spare parts, stores, logistics, warehouse operations, or procurement support, preferably within a marine, mechanical, automotive, engineering, or industrial environment.
  • Familiarity with inventory or stock management systems.
  • Basic knowledge of import, export, freight, or customs procedures will be considered an asset.
  • Proficiency in Microsoft Office applications.
  • Good written and verbal communication skills in English.
  • Technical or mechanical parts knowledge will be considered an advantage.
