Accounts Payable Supervisor

Accounts Payable (AP) Supervisor oversees the accounts payable team, ensuring timely and accurate processing of invoices, vendor management, and adherence to accounting policies. They will supervise a team, develop procedures, and maintain financial records.

Main tasks and responsibilities

Key Responsibilities: 

Supervision:

  • Manage and mentor a team of AP staff, including assigning tasks, reviewing work, and providing performance feedback.

Invoice Processing:

  • Ensure accurate and timely processing of invoices, expense reports, and other payment requests.
  • Payment processing: Approval of prepared payments by team in line with monthly/weekly budgets through the SEPA module and follow up with Treasury and CFO to ensure payments are released on time.

Vendor Management:

  • Maintain positive relationships with vendors, resolve payment issues, and manage vendor accounts.

Vendor Ownership:

  • Take ownership processing, reconciliation and payment approval processes for major vendors.

Financial Record Keeping:

  • Ensure proper recording and reporting of all accounts payable transactions and maintain accurate financial records.

Compliance:

  • Ensure compliance with relevant accounting standards, tax laws, and company policies.

Process Improvement:

  • Identify areas for process improvement, develop and implement new procedures, and optimize workflows.

Reporting:

  • Prepare and analyze reports related to accounts payable, such as aging reports, payment forecasts, and expense analysis.

Problem Solving:

  • Investigate and resolve discrepancies, errors, and payment issues.

Training:

  • Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and make recommendations for personnel actions
Educational and skill requirements

Qualifications & Experience:

  • At least O-Level standard of accounting.
  • Minimum of 2-3 years of proven experience in an Accounts Payable role or a similar finance position.
  • Strong understanding of basic accounting principles and bookkeeping practices.
  • Experience in accounting software and ERP systems desirable (particularly Sage 200).
