Operations & Administration Manager

SF1 Group is the official partner of Victoria’s Secret across several European markets, including Serbia, Slovenia, Slovakia, Malta, Greece and Cyprus. As part of our continued expansion in Malta, we are looking for talented professionals to join our growing team.

We are seeking a highly organized and proactive Operations & Administration Manager to oversee daily operations and administrative functions. This role is key to ensuring efficient business processes, smooth store operations, and strong internal coordination across departments.

Main tasks and responsibilities
  • Coordinate daily operational and administrative activities across the business
  • Provide support to Retail and Wholesale teams to ensure smooth and efficient processes
  • Oversee employee activities and ensure compliance with internal policies, procedures, and standards
  • Manage internal records, reports, databases, and operational documentation
  • Collaborate with the Accounting team to ensure accuracy and completeness of financial documentation
  • Monitor operating costs and manage the office budget, ensuring cost efficiency
  • Oversee procurement processes, including supplier communication and order coordination
  • Support store operations, including openings, refurbishments, and seasonal changes
  • Ensure implementation of internal procedures and compliance with legal requirements
  • Coordinate onboarding and training of new employees
  • Collaborate with internal teams and external partners to support business operations
  • Prepare reports, analyses, and operational updates for management
  • Contribute to process improvements and operational efficiency
Educational and skill requirements
  • University degree
  • At least 2 years of experience in a similar role (retail experience is an advantage)
  • Strong reporting and analytical skills
  • English language proficiency minimum B2 level (excellent communication skills required)
  • Knowledge of invoice processing, payment tracking, and cash flow planning
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Valid driving licence
