HR Executive

The HR Executive is responsible for supporting the Human Resources department in the implementation of HR policies, recruitment processes, employee relations, HR administration, and compliance with employment legislation. The role ensures efficient HR operations and contributes to maintaining a positive and productive work environment.

Main tasks and responsibilities

1. Recruitment and Selection

  • Assist in preparing job descriptions and job advertisements.
  • Screen applications and shortlist suitable candidates.
  • Coordinate and schedule interviews with hiring managers.
  • Participate in initial interviews where required.
  • Prepare employment contracts and job offers.

2. Employee Onboarding

  • Coordinate employee onboarding and induction programs.
  • Ensure completion of employment documentation and contracts.
  • Maintain and update employee records and personnel files.
  • Provide new employees with information on company policies and procedures

3. Work Permit Administration

  • Manage applications and renewals of work permits for foreign employees.
  • Liaise with Identità Malta for Single Permit and residency processes.
  • Monitor expiry dates and ensure timely renewals of permits and documentation.
  • Maintain accurate records of employees’ legal status to work in Malta

4. HR Administration

  • Maintain and update HR databases and employee records.
  • Prepare HR documentation including:
    • Confirmation letters
    • Warning letters
    • Contract amendments
    • Termination documentation.
  • Ensure confidential handling of employee information.

5. HR Systems and Payroll Support

  • Maintain employee data using Shierburn Indigo HRM.
  • Assist in payroll preparation by collecting attendance, overtime, and leave data.
  • Generate HR reports including headcount, attendance, and leave reports.

6. Employee Relations

  • Address employee queries regarding HR policies, leave, and benefits.
  • Support management with disciplinary and grievance procedures.
  • Promote a positive workplace culture and employee engagement.

7. Compliance and HR Policies

  • Ensure HR practices comply with local employment legislation and company policies.
  • Support the implementation and communication of HR policies and procedures.
  • Assist with HR audits and compliance checks.

Other duties delegated from time to time.

Educational and skill requirements

Experience

  • 1 year experience in Human Resources or HR administration.
  • Experience handling work permits and foreign employee documentation.
  • Experience working with HR systems such as Shireburn Indigo or similar HRIS systems is preferred.
