Front Office Assistant

The Front Office Assistant serves as the first point of contact for students, visitors, and staff, ensuring a welcoming, professional, and efficient reception service within the school. The role involves handling incoming telephone calls, greeting guests, managing the visitors’ register, and responding to general enquiries while directing individuals to the appropriate departments. The position also involves supporting student arrivals, collaborating with the Welfare department when necessary, and representing the welfare desk when unattended. The Front Office Assistant may also be required to undertake other reasonable administrative or operational duties as assigned by the Head of School.

Main tasks and responsibilities
  1. To act in a polite, friendly and professional manner at all times
  2. To take all incoming phone calls and direct to the relevant staff members
  3. To welcome all guests to the school and ensure visitors sign visitors’ book
  4. To attend to any students, visitors, or staff queries and direct accordingly
  5. To ensure the Reception and public areas of the premises are kept clean and presentable
  6. To prepare and distribute student end of course certificates
  7. To assist with the preparation, distribution and collection of student feedback questionnaires
  8. To manage and order all stationary requirements for staff
  9. To order any required cleaning products and sanitary items for the premises
  10. To be responsible for the opening and secure closing of the school premises
  11. To prepare and manage any data back-up requirements
  12. To protect the property and equipment of IELS, maintaining security and reporting any maintenance issues immediately to the relevant department
  13. To provide secretarial and administrative support to Head of School
  14. To assist with student arrivals
  15. To carry out any other ad hoc duties as may be reasonably assigned by Head of School
Educational and skill requirements
  • Minimum 1 year of experience in a front office, reception, or customer service role
  • Fluent in English, both spoken and written
  • Extroverted, friendly, and approachable personality with strong interpersonal skills
  • Excellent communication and customer service skills
  • Professional telephone etiquette and ability to handle enquiries efficiently
  • Good organizational and administrative abilities
  • Ability to multitask and work effectively in a busy front office environment
  • Computer literacy and familiarity with standard office software (e.g., email, MS Office)
  • Well-presented, reliable, and professional at all times
  • Ability to work independently and as part of a team
  • Strong attention to detail and ability to maintain confidentiality
  • Positive attitude and willingness to assist students, visitors, and staff as required
