About the Role
As a Finance Executive shall oversee various financial tasks, ensuring accurate and timely data collection and recording. This role involves close collaboration with the Finance team to uphold departmental standards and provide consistent support to other units.
What you'll be doing
- Manage and maintain accurate financial records and receipts.
- Prepare and record journal entries.
- Record and reconcile bank accounts in a timely manner.
- Reconcile daily, monthly, and yearly financial transactions.
- Process sales invoices and ensure timely follow-up.
- Maintain petty cash records.
- Ensure that all financial transactions are properly updated and recorded in line with internal policies.
- Process payments to suppliers and other creditors, including issuing remittance advice slips.
- Reconcile and process FSS payments and ensure compliance with statutory requirements.
- Support financial reporting to donors as per grant agreements.
- Monitor and follow up on outstanding receipts, ensuring timely collection of receipts (credit control).
- Assist with the identification and resolution of invoicing issues, accounting discrepancies, and other financial matters.
- Provide support and customer service to paying clients regarding payments and related queries.
- Liaise with banks and other stakeholders as required.
- Act as a key point of contact for internal departments on financial and accounting matters.
- Provide timely verbal and written responses to general finance enquiries.
- Ensure compliance with organisational standards and financial regulations
- Verify that all submitted financial transactions are fair, accurate, and ethically sound.
- Identify and report any misuse or mishandling of internal financial resources
- Actively support the Finance team with ad hoc tasks and ongoing projects.
- Assist in the preparation and execution of annual audits.
- Adapt to changing needs and perform other duties as required by the department.
- Maintain proper internal financial controls and procedures
- Track restricted vs. unrestricted funding.
- Maintain asset and inventory records in collaboration with logistics/admin teams.
- Help in the preparation of Monthly Management Accounts.
- Assist in preparing annual budgets and project-specific budgets.
- Support financial reporting to donors as per grant agreements.
What we’re looking for
A proactive and exemplary team-player, experienced within the finance sector. The person shall have exceptional attention-to-detail and is familiarized with the local standards and regulations.
Qualifications and Experience
- Diploma certificate recognized at a minimum MQF Level 4 in Accounting or Finance.
- At minimum of one (1) year experience in a finance role (ideally in a local setting).
- Proficiency in Xero accounting software will be considered as an asset.
- Knowledgeable with local financial regulations and accounting standards.
- Excellent attention to detail.
- High proficiency in English Level (C1) is required.
