Sales & Events Coordinator

Diar il-Bniet is seeking a motivated and highly organised Sales & Events Coordinator to join our team.

The successful candidate will be responsible for managing sales enquiries and client bookings relating to group dining, corporate events, culinary experiences, cooking classes and other activities offered by Diar il-Bniet.

This is a client-facing role requiring strong communication, organisation and commercial awareness. The Sales & Events Coordinator will manage enquiries from the initial point of contact through to confirmation, while coordinating closely with internal departments and external partners to ensure all booking requirements are accurately communicated and delivered.

Main tasks and responsibilities
  • Handle incoming sales enquiries from corporate clients, Destination Management Companies (DMCs), tour operators, schools, private groups and other organisations.

  • Understand client requirements and recommend suitable experiences, activities, menus and packages.
  • Prepare professional quotations, proposals and customised offers.

  • Follow up on enquiries and actively work towards converting leads into confirmed bookings.

  • Promote the company's range of culinary experiences, cooking classes, group dining options, corporate events and related services.

  • Identify opportunities to upsell and cross-sell additional services and packages.

  • Develop and maintain strong professional relationships with new and existing clients.

  • Manage bookings from initial enquiry through to the execution of event and final invoicing.

  • Coordinate booking details including guest numbers, timings, menus, dietary requirements, activities, beverages and other client requirements.

  • Liaise with restaurant, kitchen and operational teams to ensure the smooth delivery of confirmed bookings and events.

  • Coordinate with external suppliers and business partners when required.
  • Deliver tours to clients.

  • Maintain accurate and organised records of enquiries, quotations, bookings and client correspondence.

  • Ensure timely follow-up on outstanding quotations and potential business opportunities.

  • Assist with the development and updating of sales packages, brochures, pricing and promotional offers.

  • Identify potential new clients, partnerships and business opportunities, attend meetings and host visits by potential clients.

  • Periodic reporting to management on closed sales and client feedback.
Educational and skill requirements
  • Must be already residing in Malta.

  • Previous experience in sales within the hospitality sector or a similar client-facing role.

  • Strong written and verbal communication skills in Maltese and English.

  • Excellent organisational and time-management skills.

  • Strong attention to detail and the ability to manage multiple enquiries and bookings simultaneously.

  • Confident in dealing with clients by telephone, email and in person.

  • Commercially minded, with the ability to identify sales and upselling opportunities.

  • Proactive approach to follow up leads and develop client relationships.

  • Ability to work independently while collaborating effectively with different departments.

  • Good working knowledge of Microsoft Office and general administrative systems.

  • Ability to work effectively in a fast-paced environment.

  • Flexibility to work irregular hours, including evenings, weekends and public holidays, depending on business and event requirements.
