Cost Control Assistant
DC Aviation Ltd is seeking a detail-oriented and highly organized Cost Control Assistant to support the day-to-day cost control functions in a dynamic aviation environment. The role is primarily focused on ensuring the accuracy of invoices, cost reports, reconciliations and stakeholder support, with invoicing activities completed when required. The role is office based in Malta and requires strong attention to detail, excellent skills in Excel, well organised, and excellent grasp of the English language both verbal and written.
Main tasks and responsibilities
- Verify suppliers’ invoices against approved contract rates, purchase orders, and operational data to ensure accurate billing and timely payment.
- Prepare and issue sales invoices in accordance with contractual terms and agreed timelines.
- Prepare reports, variance analysis, and ad hoc cost summaries
- Monitor and chase outstanding supplier invoices and follow up to avoid service disruption or late payment penalties.
- Prepare and submit weekly crew payment forms to the Finance Department.
- Support cost control processes, month-end reporting schedules, and internal deadlines.
- Maintain accurate invoice records, reconcile sage reports and respond to supplier queries.
- Monitor monthly costs and expenses to ensure alignment with approved budgets, forecasts, and cost-saving targets.
- Maintain organised electronic filing (shared cost control/finance inbox and digital archive) and support audit-ready documentation.
- Support cost control processes management accounts processes and reporting schedules as requested by the finance team.
- Carry out any other legitimate duties required for the smooth running of the company.
Educational and skill requirements
- Previous experience in cost control, accounts payable, or a similar role.
- Advanced Microsoft Excel skills
- Experience within the aviation industry is considered an asset
- Ability to meet deadlines, including flexibility during critical periods
